Here at Shoeboxed, we are thrilled to announce the launch of the new Shoeboxed Accounting Professional Plan that will make receipt organization faster and easier for accountants and bookkeepers than ever before!

Built on top of Shoeboxed’s core mail-in service for receipt digitization, the Shoeboxed Accounting Professional Plan enables accountants and bookkeepers to manage multiple Shoeboxed accounts from a single intuitive dashboard. Accounting and bookkeeping firms can now eliminate expensive and time-consuming receipt scanning and data entry practices by simply sending their piles of receipts to Shoeboxed where they will be scanned, data entered, automatically categorized, and securely archived online. From their Shoeboxed accounts, financial professionals can then generate spreadsheets, PDF reports, and QuickBooks files by category as well as date range.

Clients also have their own unique login information to access their accounts without having access to the other accounts. All Shoeboxed accounts on the Accounting Professional Plan are discounted by 10% recurring monthly. For accountants and bookkeepers looking to grow their business, offering a document digitization service to their clients at a low cost is an innovative selling point.

Key features of the new Accounting Professional Plan include:

*Searchable online archive of original receipt scans and human-verified receipt data

*Generate IRS accepted reports with original receipt images

*Export receipt data to Quicken, QuickBooks, .CSV, and other industry standard formats

Shoeboxed is thrilled to announce our partnership with Bill.com, the online bill management and payment leader, to enable small business owners to focus more on their core businesses and less on administrative hassles.

Companies can now mail their invoices to Shoeboxed for scanning into the Bill.com system rather than scanning the invoices themselves. This approach saves time while ensuring that invoices are digitally stored for easy reference and security. Companies can also mail receipts and business cards to Shoeboxed, and access those documents from Bill.com or their Shoeboxed account. Once an invoice is scanned into the Bill.com system it is immediately available in a user’s Bill.com Inbox and can be routed for review internally or to an external accountant. Companies or their accountants can then pay vendors from any US bank account via check or ePayment, and payments are synchronized with their accounting systems.

Customers of Shoeboxed and Bill.com can start using the integrated solution at no additional cost from either service. Bill.com customers who do not currently have a Shoeboxed account can try the integrated service free for 30 days, after which the service is being offered at an introductory price of $8.99 per month for up to 50 documents per month. Current Shoeboxed customers can open a Bill.com account and use this feature without requiring an upgrade to their Shoeboxed account.

“Both Shoeboxed and Bill.com want to help offices go paperless, so the partnership makes a lot of sense,” said Taylor Mingos, CEO and Founder of Shoeboxed. “Together we can provide an even better solution for small businesses and give them more time to focus on growing their business.”

“Bill.com is focused on streamlining the hugely inefficient bill management and bill payment process for small and mid size businesses and the accountants that serve them,” said René Lacerte, CEO and Founder of Bill.com. “We have made tremendous progress on streamlining the management and payment of bills. Our new partnership with Shoeboxed will drive even more efficiencies at the start of that process, and ultimately allow businesses to eliminate one of the remaining headaches with going paperless.”

Los Angeles, CA (January 15, 2009) – Shoeboxed, a company specializing in converting receipts and business cards to digital format and categorizing them, announces a partnership with ScanDigital, the leading photo and video conversion service, to allow the cross promotion of their services. Customers on both ends have the same desire to go digital, so introducing one another’s service to their established audience makes perfect sense.

“Both Shoeboxed and ScanDigital are helping people digitally archive their important personal documents and get organized, so there is a real synergy here,” said Taylor Mingos, Shoeboxed’s CEO. “I think ScanDigital users are going to love Shoeboxed, and vice versa.”

ScanDigital Scans Your Photos and Videos

“Our partnership with Shoeboxed is particularly timely since so many people set a New Year’s resolution to become more organized and is in line with our core mission of helping people utilize digital technologies to not only become more organized, but also make otherwise daunting tasks easy,” says Anderson Schoenrock, President of ScanDigital.

About ScanDigital
ScanDigital is a web-based company that provides an innovative service and process for the conversion of old photos, slides, negatives, videos and reel-to-reel film into digital format. Orders are placed online at www.scandigital.com and the website automatically generates a UPS shipping label for secure shipping to their Los Angeles headquarters. Photos are scanned and then a light photo restoration is performed including: individual cropping orientation, color correction, red-eye removal and the removal of dust and minor scratches. The digitized images are returned on CD or DVD along with the originals, usually within a week after they are received at ScanDigital. ScanDigital’s Video and Film Conversion services allow users to view their old videos and reel-to-reel film in digital format. This includes 8mm, Super 8, 16mm, VHS, VHS-C, BetaMax, Hi8, MiniDV, and Digital 8 materials. All materials are processed in the U.S. to ensure that handling is fast and secure, quality remains high, and your memorabilia are never lost in transit. For more information, visit www.scandigital.com.

About Shoeboxed
Shoeboxed (http://www.shoeboxed.com), a leading receipt organization service, scans and organizes its users’ receipts and business cards to make them more manageable for taxes, reimbursements, budgeting and bookkeeping. When users mail receipts to Shoeboxed in the company’s prepaid envelopes, they are scanned and entered into their accounts online with the store name, date, total, payment type and expense category. Users can also send in email receipts or upload receipts themselves for a complete receipt archive. Business cards are scanned and uploaded with the data from the front and back of each card. Mail-In plans start at $9.95 per month, but use of the Shoeboxed website is free and includes comparable features to expensive offline software solutions in the market.

I’ve talked to several people this week that are ready to sign up for Shoeboxed, but have one last question: If I have a backlog of receipts, how do I get started?

Sure, Shoeboxed is great for keeping up month-to-month with your receipts, but if you have a backlog, some find that their volume is just overwhelming. They wouldn’t be able to catch up if they just had one envelope per month. If this sounds like you, you’re not alone, and Shoeboxed can certainly help.

Indeed most people that need to get their receipts organized have a big backlog – a big box or two sitting in their home or office that has been piling high with receipts for years. After all, if you’ve never had Shoeboxed, you know how hard it is to get all those receipts organized, because no one wants to scan that many receipts themselves.

That’s why we offer bulk scanning.

On top of your Receipt Mail-In subscription, you can send in a large volume of receipts to us and we will scan them at special rates so you can get caught up. You just send your receipts to us in whatever container makes sense (box, big envelope, etc.). We scan them and upload them to your online account as normal, and then mail them back to you.

If you are interested in doing some bulk scanning, email us at mail-in@team.shoeboxed.com or call us at (888) 369-4269.

In this world of receipts, we must know what we’re up against. Thermal paper, the ubiquitous material on which most of our receipts are printed on threatens our taxes, expense reports, and bookkeeping efforts by fading in seemingly impossibly fast fashion. In order to defeat it, we must understand it. From Wikipedia:

Thermal paper is paper that is impregnated with a chemical that changes color when exposed to heat. It is used in thermal printers and particularly in cheap, lightweight devices such as adding machines, cash registers, and credit card terminals.

The paper is impregnated with a solid-state mixture of a dye and a suitable matrix; a combination of a fluoran leuco dye and an octadecylphosphonic acid is an example. When the matrix is heated above its melting point, the dye reacts with the acid, shifts to its colored form, and the changed form is then conserved in metastable state when the matrix solidifies back quickly enough.

The only good way to make sure you are protected from fading receipts is to scan them. By scanning receipts and uploading them to Shoeboxed, your receipts will be captured and actually enhanced, so your receipts will always be readable and at your fingertips.

Some people come up to me on the street and say, “Hey, but what if my receipts are faded already?” I then say, “The awesome scanners that we use in Receipt Mail-In automatically enhance the contrast on your receipts so they become more readable online that they were in real life. Who are you?”

Know thy enemy; beat thy enemy!

There are a fair number of websites out there that want to let you know how you can organize your paper. A lot of times, I can’t help but chuckle a little bit. They’ll give you great ways to set up folders and labels and a schedule whereby you’ll spend hours and hours a month stuffing paper into nicely labeled drawers. Come on people, there’s a better way!

The old way:

Use complicated filing systems with pre-determined categories and subcategories to decide where to file a single receipt.

	The Shoeboxed way:

Instead of folders, we use “shoeboxes” to give you the same managability, but with more flexibility. In Shoeboxed, a single receipt can be in several shoeboxes, so you’re not forced to pick one specific category for each receipt. That way, if a receipt falls under more than one category, you can find it in any shoebox that you’ve added it to.

Shoeboxes give you an extra bonus too — put your receipts to work! You can view graphs of relevant spending trends at the bottom of each shoebox. Use them to understand and analyze your spending behavior!

It’s easy to create, edit or delete Shoeboxes, and you don’t have to worry about deleting receipts, when deleting Shoeboxes. To start organizing right away, click on the following link:

https://www.shoeboxed.com/my-shoeboxes.htm

Don’t have enough receipts in your account to use shoeboxes to their full potential? Take advantage of our unique receipt scanning service. Learn more.

Most receipts today are printed on thermal paper, which is a special type of paper that is impregnated with a chemical that changes color when exposed to heat. Though it certainly sounds cool, oftentimes, it is, in fact, NOT. Most of those receipts you have that are faded are a result of this thermal paper. Receipts printed on this type of paper can become unreadable in a matter of months!

While you may think that you have safely stored all your receipts in a complex file-folder system in case you should ever need them, different factors such as sensitivity to temperature, humidity and light can make your receipts unreadable, and therefore useless. Sounds scary, right?
