Here’s a quick recap of all the ways you can send your documents to Shoeboxed for processing.

  • Gmail Receipt Sync: The first set-it-and-forget-it, automatic receipt processor! Simply link your Gmail account to Shoeboxed under “settings” in your account, and we’ll spot incoming receipts and automatically process them into your online account.
  • Shoeboxed Receipt and Mileage Tracker: Our mobile app is a free download for iPhone and Android. The app lets you snap a photo of a receipt, enter a note, tag it as Reimburseable or Deductible, and submit it to Shoeboxed for processing.
  • Web Clipper: The Shoeboxed Web Clipper is the easiest way to send things to Shoeboxed directly from any web browser. The Web Clipper is a free download for Safari, Firefox or Internet Explorer (click here) and Chrome (click here). Simply navigate to the page you want to submit for processing, click the Shoeboxed icon and it will capture and submit everything on your current web page. You can also ‘clip’ email signatures so the contact information will be imported into the business card section of your Shoeboxed account.
  • Desktop Uploaders: Our Desktop Uploaders are an easy way to submit documents on your computer straight to Shoeboxed without having to access your online account. The Desktop Uploader is a free download forMac and Windows.
  • receipts@shoeboxed.com: Send eReceipts to this email as a single dropbox for you to forward eReceipts to! We’ll detect which account to put the receipt in based on the sender.
  • Magic Envelopes: Simply toss all of your receipts, bank statements, and any other paperwork that needs to be scanned into one of our famous Magic Envelopes for processing. Drop it in the mail, then watch as your account is magically populated with digital receipt data– and images of your scanned receipts!

3 Simple Steps to Get Through the Last Month Before Taxes Are Due

We went ahead to compile a list of a few tips which can come in handy as we enter the “oh-I-still-need-to-finish-filing” phase of the tax season.

Tax season is here and most of us are stressing out and trying to get our act together before the April 18 deadline.

Individuals and small businesses like you have found their way to productivity by eliminating paperwork in their day-to-day transactions and quite often, we hear from them about how they tackle the tax season and paperwork woes.

The insights we have gathered from them are simple and effective, with staying paperless and well-organized being the regular takeaway. We went ahead to compile a list of a few such tips which can come in handy as we enter the “oh-I-still-need-to-finish-filing” phase of the tax season (we know you already have a lot of lists to deal with this tax season, so we promise to keep this short).

1. Let D-Day stay on top of your mind

In the rush of work, it’s easy to lose track of time and days. One fine morning when you wake up, all that you are left with are few more days ’till you hit the deadline. To save yourself from the hopeless scramble that ensues, start early.

Make a list of what needs to be done (however small the activity is) and span it across the limited time that you have at hand. Once you have charted this out, the only thing you need to do is to stick to it and not procrastinate.

2. Compile all the required documents

One of the biggest reasons for stress during tax time is not finding your relevant documents in time and sometimes even forgetting to take them into account. To avoid this, the first step of your list needs to be putting together all of the documents.

Look for all of those receipts, investment documents and other records you need for tax filing and consolidate them in one central location. If you are not able to do this in one go, spread this activity across few days and a weekend. Starting off slow when you have enough time is better than doing things in a jiffy right when you wake up to the deadline.

3. Start the e-filing process!

In case you have been filing taxes on your own, after step 2 you are all set to start your e-filing process. And if not, get in touch with a tax preparer to sail through the tax filing process.

The latest guidelines issued by IRS has brought Form 8878 and Form 8879 (Electronic Return Originator authorization forms for individual taxpayers) under the scope of electronic signatures. For the uninitiated, Form 8879 is an IRS e-file signature authorization form that authorizes an ERO to enter the taxpayers’ PINs on individual income tax returns. Form 8878 is an IRS e-file authorization form for application of extension of time to file taxes, that authorizes an ERO to enter the taxpayers’ PINs on Forms 4868 and 2350.

Before, when going by the ERO method, taxpayers had to physically sign these authorization forms either in the ERO’s office or sign the physical copy and send it via mail or fax. But with the recent e-signature guidance, you can now authorize your EROs even remotely by choosing to electronically sign your authorization documents and simply e-mailing them to their tax preparer. (Yes, this method is IRS compliant.)

What can I send in Magic Envelopes?

Magic Envelopes are the perfect way to get your receipts, business cards, invoices, work orders and other important business documents organized. If you send it, we’ll scan it.

How many documents fit in a Magic Envelope?

Our Magic Envelopes are large 9″x 12″ Tyvek envelopes. Tyvek is a very sturdy and reliable material, so our Magic Envelopes can usually hold hundreds of receipts depending on the receipt size. However, if you find that your receipts do not fit we can send you more envelopes at no charge!

Do I need to sort my documents before sending them in?

For the most part, documents do not need to be organized in any way before you send them to Shoeboxed. Please make sure that documents are not attached to larger pieces of paper, as we are not able to process this kind of document.

Each receipt should be loose in the envelope. Each individual document should also not be stapled or otherwise attached to other pages, unless the document is part of a multi-page document.

How do you handle multi-page documents?

Double-sided documents that contain printed information on both sides will be automatically processed as a single document entry in your account.

All you have to do is put a paper clip on receipts or documents that have multiple pages, and we will scan them as one document with multiple pages. Multi-page documents only count once toward your monthly limit– not once for every page.

Will my documents be returned to me?

If you are signed up for a Shoeboxed Classic, Business or Executive plan, your receipts and business cards are mailed back to you by default. We will also include a fresh Magic Envelope with the return envelope for you to send in your next shipment of documents!

If you don’t want your documents returned after they have been processed into your account, you can choose for Shoeboxed to securely shred and recycle them. You can choose this preference in “My mail-in settings” in your account settings.

How can I track my envelopes?

Each Magic Envelope has a unique envelope code. Before a Magic Envelope is sent to you, we associate its envelope code with your account, and then we wait for that envelope to come back. When we receive it, we will send you an email letting you know that it is going through processing.

You can also use the envelope code to track at which point in the processing cycle your envelope is in. Simply log in to your account and click on “My Envelopes” on the overview page. From there you will be able to see when your envelope was received, when it has been processed and when we sent new envelopes out to you.
